The illusion of busyness
Have you ever left a meeting feeling drained, but uncertain of what was accomplished? That is the “meeting trap,” where good intentions can unknowingly become an illusion of productivity.
This happens when discussions continue without clear decisions, and calendars are packed with actions, but no accountability. When focused work becomes a luxury, we risk being busy, but not effective, meaning “you are busy for nothing”.
Break the cycle!
You have the power to break free from the cycle of being busy for nothing. To ignite your impact, shift from a culture of endless talk to one of “electrifying results” by embracing these principles:
Define your destination: Before scheduling or stepping into any meeting, always define your destination. Ask yourself, “What is the non-negotiable outcome I must achieve from the meeting?”. If the answer isn’t a crystal clear decision or a problem to be solved, challenge the necessity of the meeting. Your time is a precious resource, so guard it for what truly “moves the needle”.
Leverage helpful tools: Not every piece of information needs a live audience. Use tools like a well-written email, a concise project update in shared software, or a collaborative document. This frees up valuable focus time, allowing you to do the work instead of just talking about it. Live meetings should be reserved for brainstorming, complex problem-solving, or pivotal decision-making that requires immediate interaction.
Celebrate execution: Create a culture where execution is celebrated. Take time to celebrate when you deliver tangible outcomes and transform ideas into reality. Let results be the ultimate badge of honour to inspire yourself and others to strive for impactful contributions.
Transform discussions into decisions: Many organisations face the challenge of supervisors and management teams who have endless meetings with no results, as if they are paid to do meetings that accomplish nothing. A professional work meeting should not be a coffee break; it should be a platform where ideas are forged into plans. Every agenda item should lead to a concrete decision or a specific action. To be intentional, end every meeting with the triad: “Who is supposed to do what, by when?”. This clarity is the “rocket fuel for execution”.
Challenge the status quo: Don’t accept a meeting invitation out of habit. Be brave and ask, “Is this meeting truly the most effective way to achieve our objective?”. This proactive questioning can encourage others to rethink and optimize their time management.
Master the focused sprint: Treat meetings like sprints, not marathons, by setting aggressive, realistic time limits. Use a timer and empower a facilitator to be the “guardian of focus”. Show respect for time by starting and ending on time, which in turn breeds respect for results.
Unleash the power of autonomy: Trust your teams. Once clarity is established and resources are provided, empower individuals to take ownership of their tasks and deliver. Micromanagement is the enemy of results, so give teams the freedom and responsibility to innovate and achieve without constant, unnecessary check-ins.
